The UAMS Mail Processing Center handles and processes all incoming mail, prepares outgoing mail for the U.S. Postal Service, provides mail services within the campus, and supports the hospital and campus for all their mailing needs. We also maintain all U.S. Postal regulations and provide postal information to campus personnel. The Mail Processing Center is a department under Institutional Support Services.
Collection and Delivery
Our drivers collect and deliver mail to the local U.S. Postal Service twice
daily, Monday through Friday. Delivery times are 7:30 a.m. and 4:30 p.m. The U.S. Postal Service picks up from us at 12:00 p.m. each weekday as well. Our policy is that all mail received in the mail center by 3:00 p.m. will be sent out and postmarked that day.
The UAMS Mail Center processes around 25,000 pieces of mail daily. Incoming mail is sorted by slot number and placed in the departmental mailboxes with the exception of express mail, certified mail, and other special deliveries.
Express Mail
Express Mail is an overnight service provided by the United States Postal Service. After incoming express pieces are signed for and entered into a log, effort is then made to contact the addressee for immediate pickup. If the piece is not picked up within 24 hours, the express mail will be treated as regular first-class mail. Our office has all the necessary paperwork to send outgoing express mail and we will assist you in filling out the paperwork if necessary. Most express mail will be delivered by the U.S. Postal Service the next day, but some areas may require additional time. You may contact us for more information on delivery schedules for express mail. Any outgoing express mail must be in the UAMS Mail Processing Center by 2:00 p.m. to meet the delivery criteria of the U.S. Postal Service.
Certified Mail
Certified, registered, insured, and other accountable mail requiring a signature is signed for and logged by a Mail Processing employee. Notice of the article is then placed in the proper departmental mail box and the article is held for a signature from a departmental employee. If the piece is not picked up within 24 hours, the accountable mail piece will be treated as regular first-class mail. Our office has all the necessary paperwork to send insured, certified, and registered mail. The cost varies depending on the service required and the weight of the mail piece and will be charged to the department. As of August 1, 2023, we are no longer able to provide this service to individuals and only to UAMS accounts.
Boxes and Packages
USPS and UPS boxes and packages that will not fit within the departmental mailboxes are set aside in the mailroom and a package notice is placed in the mail slot indicating a package to be picked up. Individuals wishing to mailboxes and packages can do so at our office if the package is already labeled with postage. We can weigh letters and packages for individuals to provide projected cost, but as of August 1, 2023, we will no longer sell postage.
Bulk Mail
For mail to qualify as standard (bulk) mail it must have these qualifications:
- A minimum of 200 pieces of mail
- All pieces must be addressed to locations within the United States
- All pieces must be the same weight
- The content of the mail must be generic in nature
- The Mail must be placed entirely in ZIP CODE order
- A Return Address (necessary for Non-Profit discounted rates)
- Submit a Bulk Mail Job Request. The online Job Request must be submitted before the Mail Processing Center can process your Bulk Mail Job request.
